Application Integration Services
| |
NetDocuments is designed to be able to manage virtually all computer file types. With some applications,
NetDocuments offers additional capabilities to provide a tighter integration and improve the usability with
popular applications for users. Currently, NetDocuments offers integrations with Microsoft Word, Microsoft
Outlook, PDF files and DeltaView Workshare. Other applications are planned for future integration work.
|
Microsoft Word Menu Integration
NetDocuments provides a basic integration that can be downloaded by any user for Microsoft Word 2000 to
allow functions such as File>New, File>Open, and File>Save to be linked directly to NetDocuments. With
these integrations, the application such as Microsoft Word can be the main port of entry into the document
manangeent service. These integrations are optional and are provided upon request. This integration is
designed to be used as is or customized by macro designers. Please
contact us if you would like to install this integration.
If a firm or organization wants to have additional integrations with other Microsoft Office applications,
they are provided by third party vendors who spcialize in MS Office macro development. These add-in
integrations are designed to have more flexibility and provide additional options. These services are fee-based.

Microsoft Outlook
NetDocuments offers a Microsoft Outlook integration which each user can download from My Account.
When opening an email message or creating a new message, a user can select the NetDocs Save button
to save the email message and any attachments directly into NetDocuments. The NetDocs Insert will
direct the user to locate documents to be inserted as attachments to an email.
|
In addition, a user can forward any email and its attachments to NetDocuments by adding the email address
of a NetDocuments folder to an email. Each user account and each folder has an automatic email address
associated with it which can be identified by going to the folder and selecting Email Address.
The email address can be inserted into Outlook's Contact List by selecting the Add to Outlook button.
This feature of forwarding emails using a folder email address will work with any email system, including
Hotmail, Lotus Notes, Yahoo, etc.

Workshare DeltaView
DeltaView is a software application from the company www.workshare.com. It enables users to compare documents
and see their differences. NetDocuments integrates directly to DeltaView using your installed, local version
of Workshare's DeltaView.
To use it, check the two documents to be compared, then click the mark/launch dialog. Both of the documents
will be downloaded to your PC and your DeltaView software will be launched for comparison of the two documents.
DeltaView will produce a compared document outlining the two document's differences. Depending whether
you chose to View only or to Save the output, the compared document will be saved into NetDocuments as a
.rtf type document with a link referencing the source documents. DeltaView versions 2.8 and above are supported.

PDF Files
NetDocuments has optimized the opening of PDF documents by offering a feature called PDF streaming. This is a
user preference that can be set and which will enable faster viewing of PDF files by streaming data one page
at a time. This means you do not need to wait for an entire PDF file to download before viewing. This benefits
mostly users who use Adobe Acrobat Reader. Disabling this feature forces NetDocuments to download the entire
document to you before it can be opened.
You can use the View in Browser option for PDF streaming at any time. NetDocuments can search PDF documents
created from text-based applications such as Microsoft Word, Excel, Lotus Notes, etc. If the PDF is created
from an image, such as one scanned or faxed, then you will want to OCR the image to create a "searchable
PDF" file which can be full-text searchable when imported into NetDocuments. Otherwise, the PDF can be
searched by its Profile data. Check your scanning software to see whether it will convert scanned images to
PDF. We recommend
Scansoft PaperPort 9 or OmniPage Pro 14. For more about scanning into NetDocuments go to
Getting Started for Users.
